Physician Paid Subscription Terms
Owner-approved policy for separately released physician paid enrollment. Approval and publication do not mean checkout, notices, archive/export or refund services have been tested or released.Document version · bvna-paid-subscription-terms-2026-10-09-v2

Approval and service availability
The physician site owner approved the original terms on October 4, 2026 and this prospective failed-payment retry-policy amendment on October 9, 2026. Policy approval is separate from operational readiness. Paid enrollment, paid benefits, automated changes and payment-method management remain unavailable until their independent release and verification checks pass. Approval of this document does not prove that refunds, notices, private archives, exports or deletion procedures are operational.
These terms apply to a new paid enrollment only when the authenticated physician owner explicitly acknowledges this exact version for their selected plan. An earlier subscription or acknowledgment is not silently assigned this version. Applicable mandatory consumer rights and disclosure, renewal and privacy requirements prevail over these defaults. These are business terms, not jurisdiction-specific legal advice.
Service and recurring billing
Basic profile publication remains separate from payment and requires its own approvals. Payment never verifies identity, approves content, guarantees a territory, or guarantees patient referrals, clinical outcomes or search ranking.
Checkout may be offered only after required owner, content and territory eligibility checks. Recurring payment is collected through Stripe hosted checkout. Before purchase, the exact plan, currency, amount, monthly or annual interval, applicable taxes and automatic renewal must be disclosed. The actual versioned paid terms must be shown and linked before an unchecked acknowledgment. The accepted version and exact selection are recorded with the authenticated owner's checkout intent.
Ordinary cancellation means cancellation at the verified paid-period end, with eligible benefits retained until that boundary. Cancellation must be directly accessible in the owner's account without requiring an email request. An owner may undo scheduled cancellation before the boundary when verified state permits. Plan changes take effect only at the next verified paid boundary after required review, with no immediate prorated plan-change charge or credit. Automatic changes remain unavailable until separate lifecycle verification passes.
Refund eligibility and manual approval
First paid enrollment: one full refund if requested within 14 calendar days of the first successful subscription charge, without supplying a reason. This applies once per verified physician owner, not to each renewal or plan change.
Duplicate charges and confirmed erroneous charges: refund the erroneous amount in full, without deducting processing fees.
Paid benefits never delivered because of a site-side failure: full refund of the affected subscription payment. If delivered for part of a paid period, refund the undelivered portion using the actual price paid divided by the calendar-day length of that paid period. Actual delivery evidence must be investigated; payment return links alone do not establish delivery.
Monthly voluntary cancellation after the introductory 14-day window: no routine unused-period refund; retain eligible benefits until the verified paid-period end. Error or non-delivery refunds and applicable legal rights remain exceptions.
Annual voluntary early cancellation after the introductory window: an unused-time refund is permitted based on the actual annual price paid for full calendar days remaining after the agreed early end date. Used time is not retroactively repriced at the monthly rate; no penalty or processing-fee deduction applies. This is a separately authorized manual early-termination and refund operation; ordinary account cancellation still means period end. Refund, early benefit end and verified territory release must be reconciled together before completion is reported.
Refund requests must be acknowledged within two business days. A decision must be provided within five business days after necessary evidence is available. Approved refunds must be submitted through Stripe within five business days of the decision. Bank posting time varies; the bank's completion date is not guaranteed.
The physician owner or an individually authorized directly supervised delegate approves each refund. Policy approval is not authorization for an assistant to move money, refund a specific customer or terminate a subscription. Refunds remain manual at launch, with attributable decision and provider evidence. Contact support@bvnaprocedure.com for review. No automated refund or early-termination workflow is activated by this policy.
Professional content retention and export
On cancellation or failed-payment eligibility loss, public paid benefits stop at the verified boundary. An independently eligible Basic profile is preserved. An archived Professional profile must never be represented as publicly delivering paid benefits.
Professional text and uploaded media are to remain private for 90 calendar days after paid eligibility ends, with authenticated export during that time. Restoration requires current identity, content and media approvals and paid eligibility; it does not automatically restore a ZIP reservation.
An archive-start notice and a reminder 30 calendar days before the proposed archive end must be sent. Verified deletion or export requests must receive a response within two business days and ordinarily be completed within 30 calendar days, subject to legal holds and clearly stated exceptions.
After 90 days, Professional content is queued for authorized manual deletion review, not automatically purged at launch. Data is minimized after documented review while preserving the distinct eligible Basic record and required audit evidence. No fixed final erasure date is promised until backup retention and the deletion procedure are implemented and verified.
Billing, consent, dispute and operational audit records are separate from Professional marketing content. A documented seven-year accounting and audit retention target is subject to the actual entity's legal and accounting requirements and data minimization; this is not a claim that every record is legally required for seven years.
Current recovery objects and backups remain preserved. This policy does not authorize production deletion, backup pruning, retention mutation or restore. A later separately approved and tested backup-expiry and erasure procedure must explain residual backup copies and legal holds; immediate removal from all backups is not promised. The 90-day archive, authenticated export, archive notices and deletion review workflow are approved requirements, not currently verified services.
Customer notices and failed payments
The responsible sender and escalation owner is the physician site owner and their directly supervised team through support@bvnaprocedure.com. Notices use the existing transactional-email provider without adding a paid monitoring subscription.
Receipts and material subscription confirmations must be sent promptly after verified provider and local state. Records identify the event, notice version, recipient account reference, attempt and provider acceptance or failure without unnecessary payment or contact data in logs. A queued email or provider-accepted send is not proof of inbox delivery.
Cancellation, cancellation-undo, scheduled-change, completed-change, refund and benefit-availability confirmations must be sent within 24 hours of verified state. Cancellation confirmations identify the actual paid-through date and whether renewal is disabled.
Renewal reminders are required 7 calendar days before monthly renewal and 30 calendar days before annual renewal, including the amount, renewal date and a direct account cancellation link. Notices must be recomputed when verified dates change and duplicates prevented.
Failed-payment handling requires an initial notice within 24 hours of a verified failed invoice. The approved prospective target is Stripe-managed retries approximately 1, 4 and 7 calendar days after the original failure, using successive custom intervals of 1, 3 and 3 days after the previous attempt, only for retryable failures, with one reminder before the provider-confirmed final scheduled retry and a benefit-end notice when verified paid-through expires. These targets are not currently verified Stripe settings. Non-retryable errors and actual provider retry scheduling must be handled accurately; retries must not be invented. Changing Stripe subscription retry settings affects future retries only; this amendment does not establish rescheduling of an already scheduled attempt, restart an exhausted invoice or rewrite an earlier acknowledgment. Existing subscribers retain their acknowledged version unless the applicable advance notice and any required fresh consent have been provided; defer the change if those requirements cannot be met.
There is no additional paid entitlement beyond verified paid-through. Payment retries do not extend benefits. A later verified payment may restore eligible benefits after reconciliation; unclear territory remains blocked.
Affected owners must be notified within 24 hours after confirmation of a material paid-delivery outage, updated at least every 48 hours while unresolved, and sent resolution or compensation decisions after verification. Security and privacy incidents require a separate incident process and any legally required timing; this business timetable does not replace those obligations.
Ordinarily at least 30 calendar days' advance email notice must be provided before a material adverse policy or price change takes effect at renewal. Any required fresh consent must be obtained; an existing acknowledgment is never silently moved to a new terms version. If required notice cannot be provided, defer the change rather than shorten notice.
Failed sends require a durable deduplicated queue, bounded retries and a visible owner or team review queue. No new paid monitoring is authorized. The missed-alert gap remains: the notice service is not operational until outage, restart and deduplication tests and existing-provider delivery checks pass. These notice schedules are approved obligations, not a claim of current implementation or successful delivery.
